What It Is
A backup is an encrypted snapshot of your team's financial data (accounts, transactions, tags, plans, etc.) at the time of creation. Backups can be:
- Automatic — created on a schedule (if your plan includes it);
- Manual — you create them yourself with a button (on plans where this is allowed).
The data within a backup is encrypted with the team's key and is not decrypted on the server — even when you download it, you receive an encrypted file.
Where to See Backups
"Settings → Data," the "Automatic Financial Snapshots" card. The list is collapsed: the most recent backup and the "Show All (N)" button are visible — on higher-tier plans, there are hundreds of backups, and an expanded list would take up the entire settings screen. The most recent backup is always visible so you can understand at a glance that backups are running.
How Many Backups Are Stored
Backups are pruned with age, not all stored consecutively:
- The last 31 days — all backups as they were taken (on higher-tier plans, every 6 hours);
- The next three months — one backup per week;
- Beyond that — one per calendar month, until the end of your plan's retention period.
This means a month from a year ago has one recovery point, not a hundred nearly identical ones. The ability to see what the books looked like then remains — and this is important: the ledger can be edited, so an operation corrected retroactively in 2024 changes what the 2024 report shows today, while a monthly snapshot remains the sole record of the previous state.
Manual backups are never pruned. If you created a backup yourself — before a large import, cleanup, or experiment — it will remain for the entire retention period of your plan. Automatic backups are pruned, manual ones are not.
What Depends on Your Plan
The set of features is determined by the active team's plan:
- creation of manual backups (and how many per day);
- downloading backups;
- restoring from a backup;
- retention period and maximum size.
If a feature is unavailable on your current plan, the app will indicate this and suggest upgrading your plan.
Mobile App
Open Menu → "Backups." On the screen:
- Create Backup — a button at the top (if your plan allows). After creation, the backup will appear in "History."
- History — a list of backups: date and time, size, number of lines/attachments, type (manual/auto), and status (success/error). The time is shown not for aesthetics: on business plans, a backup is taken every 6 hours, and without it, four backups from the same day would look identical.
- Collapsed Months. The history is long by design, not oversight: the last month stores everything the interval created, further back — one backup per week, even further back — one per month. Therefore, the list is grouped by calendar months: next to the month's name is the number of backups within it; only the last month is expanded by default; others expand on tap.
- Search by Date — the calendar icon in the header. Select a date, and the list will narrow down to backups for that day; a banner with the date and a cross will appear above the list to return to the full history. If there are no backups for the selected day (and due to pruning, this will be the case most often), the app will show the closest backup not later than that date and indicate the date you were searching for — this is exactly what's needed to restore "as it was on such-and-such a date."
- Each successful backup has a "⋮" menu:
- Download — save the encrypted backup file via the system "Share" menu (to Files, cloud, email, etc.). Store it separately from your phone.
- Restore — roll back the team's data to this backup. Before doing so, the app will ask for confirmation.
Web Version
The backup section in data settings: creation, history, download, and restore — the logic is the same as in the mobile app.
The card by default shows one most recent backup — to answer the question "are backups even running?" without taking up half the page. The "Show All (N)" button expands the history, and in its expanded form, it's structured like in the app: divided by calendar months (the last one is expanded, each month shows the number of backups) and supplemented by the "Search by Date" field. Selecting a date narrows the list to the day of the closest backup not later than the selected one and displays a date banner; the cross on it returns the full history. Collapsing the list also resets the search.
Restoration — Important
Restoration replaces the current team data with data from the selected backup. To ensure you don't lose anything by mistake, the server first automatically creates a safety backup of the current state, and only then restores the selected one. Nevertheless, changes made after the moment of the selected backup will be lost — therefore, the action requires confirmation.
Loss of Attachments. If the selected backup was taken without attachment files (backing up attachments may not be available on your plan), and the team currently has attachments — restoring will irrevocably delete them and not return them. In this case, both the web and mobile app show a separate warning with a confirmation checkbox — restoration will not start until you check it.
Restoration Depth by Plan. On some plans, you can only restore sufficiently recent backups (e.g., from the last N days). An older backup remains in the list and can still be downloaded, but the restore button for it is unavailable — this is a plan limitation, not data loss.
Good to Know
- A downloaded backup file is useless without the team's encryption key — this protects your data even if the file falls into the wrong hands.
- Old backups may be automatically deleted upon expiration of your plan's retention period.
